Course Master:
Manage any type of internal or external training classes and activities by creating your Course Master. The Course Master becomes your centralized catalog that includes all of the default details that a class contains and then uses these defaults to simplify and speed up the class scheduling and administration process.
The Course Master record contains Base information including Titles, Content, Costs, Statuses, Duration, Enrollment Levels, Languages Taught, Evaluations and Administrator. Additional information can be user-defined including Budgets, Checklists, Class Requirements, Equipment, Facilities, Instructors, Materials, Assignments, Curriculum, Objectives, Prerequisites and Student Materials that will be used in a class.
Class Scheduling:
Manage the class scheduling process to create a class record that uses the defaults created in the Course Master record. These defaults can be changed to accommodate the requirements of a specific class or activity that is being scheduled. In addition, you can track Cancellations, Class Replacements, Class Changes and keep a running total of student cancellations.
The class scheduling process allows the class to have one or more sessions that track the date, time, instructor, facility and equipment that will be used for a specific session. When the session information is selected it goes through a conflict resolution process to determine if the requested instructor, facility and equipment are available for the requested dates and times to prevent duplicate scheduling of resources.
A roster of all registered students is created and a waitlist begins once the maximum student registration has been reached. If registered students cancel out of the class then those on the wait-list will be automatically enrolled based on their priority. Once a class has been completed the instructor can use the Class Completion Wizard to close the class and input attendance and grade information for the students who attended.
Class Registration:
Manage registration of students for specific classes via Web SelfService, Student Wizard or the Training Administrator can register the students using the Class Registration window. The student and Instructor will automatically receive confirmation of the class registration via E-mail, fax or a report.
Class Registration will track the Student, Class, Registration Status and Registration Type. The registration record is date and time stamped to establish the students priority if they are put on the waitlist. The student can also cancel their registration and track the reason. Students can view and print class specifics including session(s), date, time, location, directions and instructor.
Class Evaluations:
Manage user-defined class evaluations via Web SelfService, Student Wizard or the Training Administrator can input paper based evaluation results into the Evaluation Wizard. Standardized evaluations can be assigned to mutiple classes. The evaluations can have unlimited questions and track answers that include ratings, percents and comments.
Event Scheduling:
Manage the scheduling of specific events (i.e. Pre-Class Testing, Post-Class Testing, Certificate Testing, Labs, Travel, etc.) that will require pre-registration as well as instructor, facility or equipment resources to be reserved. The Event Scheduling process is almost the same as Class Scheduling except it does not use the Course Master to create the events.
Library Management:
Manage training resources that are available for your employees to use on-site or to take home for study or review using Library Management. This feature lets you create a cataloged library of equipment and tools (CBT, Videos, Books, etc.) that can be checked-out and checked-in to better account for the items and improve their availability for all employees. Course Equivalent tracking is available where an employee is performing computer based training or videos, etc. that are equivalent to taking a standard class.
Many organizations may be surprised at how much they have invested in learning materials that are not managed effectively and result in little use or no use, are damaged, misplaced or never returned. The Library Management will help you and your employees get the most from your investment.
Student Master:
Manage your student records including transcripts, contact information, addresses and training programs history. This feature allows for a student to be a non-employee if you offer training on an outsourced basis possibly to subsidiaries or other companies within your overall organization.
Training Programs:
Manage employee career path and development using the Training Program feature that will track Program Descriptions, Program Groups, Job Class Promotion Paths, Degrees, Languages, Licenses/Certificates and Skills learned or earned by completing a training program. You can specify which Job Classes are eligible to participate in a given program, specify which training courses comprise the training program and view and report on which students are registered for the training program.
Tuition Reimbursement:
Manage tuition reimbursement programs that let you efficiently control their use and costs. Establish user-defined criteria including Plan Year, Annual Maximums, Materials Reimbursement Maximums, Attendance and Grade Minimums required for reimbursement and other eligibility requirements to participate. The Tuition Reimbursement claims window tracks YTD and Current Claims Data, Class Code and Descriptions, Attendance Dates, Vendor Used, Status and Check Numbers issued.
Calendar Wizard:
View and print daily, weekly and monthly calendars that can contain a variety of class schedule information including Class Title, Instructor, Facility, Times and Class Description. You can filter by Class, Instructor, Course Groups, Vendors and Administrators to get the exact calendar you require.
Vendor Management:
Manage information on the vendors that you use for training activities (i.e. Instructors, Material Suppliers, Facilities, etc.) including Contacts, Phone Numbers, Emails, Addresses, etc.
Material Inventory Management:
Manage your inventory of materials used for your training classes such as Computers, Work Books, CBT, Videos, Pens, Pads, etc. Track material information including vendor, part #, costs, quantities on hand, reorder levels and delivery lead times to ensure that you always have an adequate supply of materials for training classes when you need them.
Reporting and Data Import/Export:
The Training Module includes over 40 standard Crystal Reports and over 70 Browse Reports. Custom reports can be created quickly and easily using Crystal and Browse reporting tools. Some of the standard reports include Class Listing, Class Cancellation, Class Roster, Course Catalog, Student Programs, Tuition Reimbursement and Training Certificates. Training data can be easily and accurately reported, exported and imported.
