FSA Claims Processing:
Manage your FSA Claims Processing including printing the reimbursement checks or direct deposit. Track the details of submitted claims including claim submission date, claim date, type of service provided and to whom. Record whether the claim is eligible for reimbursement, whether more information must be gathered, or if the claim is ineligible for processing. Track the service provider, start and end dates, claim amount, denial amount, who approved the claim and allow for appropriate comments to be entered. The system will pend claim amounts that exceed the amount allowed, comparing the total outstanding claim amounts against the Y-T-D contribution amount.

Running totals are tracked for each FSA participant by FSA Plan Type including Contributions YTD, Claims Submitted YTD, Adjustments YTD, Claims Paid YTD, Contribution Balances and Pending Amounts. Quick Queries are defined to quickly access specific FSA claim records by FSA Type (Health, Dependent Care, Transit, etc.), Resource ID (employee number), Service Type, Check Number, Approval ID, Claims Status, Claim ID and Claim Date.

FSA Payments Check Register:
Manage the FSA payments check register that displays a detailed history of all FSA checks that have generated. This option allows for individual checks to reprinted as needed.

Automated FSA Transactions:
Manage automated FSA transactions for individual employees or batches of employees for specific date ranges. Transactions for processing and reporting include Generate Checks, Claims Processed, Reimbursement Amounts To Be Paid, Update Contributions YTD and Import Contributions YTD from third-party systems.

Open Enrollment Management:
Manage and streamline your open enrollment process for FSA elections via our Web SelfService Open Enrollment capabilities, which provide your employees and their families with easy benefit enrollment and change process along with immediate access to all of their benefit information without having to constantly contact the HR department. Benefit Summary Plan Descriptions (SPD’s) links to Insurance Provider Web Sites are a click away to give your employees the information they need to make informed decisions on what benefit elections are best for them.

The Open Enrollment process begins with employees generating Benefit Options reports that show them what plans they are eligible for and their costs. The employees then add or update their personal, address, dependent, beneficiary, direct deposit and primary care physician information. The employees will finally make their elections by stepping through user-defined enrollment panels for each benefit plan type that they are eligible for. The employees can make their elections and change them as often as needed during the open enrollment period. When the open enrollment is closed, all employee elections are processed and employees will receive their final Benefits Summary Statement that shows elected plans and their costs, enrolled dependents and beneficiaries.

The Web SelfService Open Enrollment process allows the enrollment effort to be spread across both the employees and the HR department. This results in an accurate and efficient enrollment process that provides employees with all the information they need to enroll and then maintain their benefit plans throughout the plan year without a huge impact on HR and Benefit staff.

Benefit Events Management:
Manage ongoing benefits enrollment and maintenance outside of the open enrollment period. Employees that are new-hires or have life-events that require changes to their FSA elections can easily perform these transactions using the Benefit Event process that is similar to the Web SelfService Open Enrollment process. User-Defined Life Events, such as New-Hire, Divorce, Birth or Adoption, Address Change, Part-Time to Full-Time Status Change, etc., can be setup and will be assigned to every new enrollment or change record for tracking a complete benefit enrollment history for every employee.

FSA Plans Setup:
Manage user-defined FSA Plan setup including Medical, Dependent Care, Transit and other plans as needed. You can establish the annual and pay period minimum and maximum contributions, minimum and maximum claim amounts for audit control, eligibility and waiting period parameters and payroll link codes for deductions to be passed to your payroll system.

FSA Eligibility Management:
Manage complicated FSA eligibility formulas and use high-speed on-the-fly eligibility processing which ensures that an employee can only elect the benefit plans that they are eligible for. The formula setup process includes over 40 pre-defined eligibility columns ready for use (i.e. Job Status, Job Title, Exempt / Non-Exempt, Organization Levels, Compensation, etc.) and if others are needed virtually any field in the database is available. The eligibility formula builder allows for quick creation and testing of formulas to validate that the correct employees are selected for eligibility. When the eligibility formula is completed it can be assigned to one or more benefit plans.

Data Import Wizard:
Manage FSA related data importing into our FSA tables from any source (Insurance Company, Broker, Payroll Provider, third-party software, etc.). This data can be automatically processed, updated and recalculated as required to meet the HRaspx system specifications. This assures accurate and timely data integration from any source required.

Reporting and Data Import/Export:
The FSA Module includes many standard Crystal Reports and Browse Reports. Custom reports can be created quickly and easily using Crystal and Browse reporting tools. Some of the standard reports include FSA Claims Detail, FSA Enrollment, FSA Setup, FSA Check Register and FSA Transactions. FSA enrollment information required by all the parties that are involved in the complex FSA management process (HR and Benefits Staff, Insurance Companies, Brokers, Payroll Providers and Third-Party Software systems) can be easily and accurately reported, exported and imported.
