Benefit Plans Management:
Manage every type of plan that you currently offer with flexibility for managing new plans in the future. Complete plan history is maintained including provider, employer and employee costs. User-Defined Plan Types and options for employees' dependents and families can include, Medical, Dental, Vision, Basic and Supplemental Life, Short and Long-Term Disability, Accidental Death & Dismemberment, Flexible Spending Accounts for medical, dependent care and transit, Retirement and other plans.

Unlimited plans can be set up that include user-defined rates and options including age-banding and gender, Wellness for a reduction amount of the employees premium, Disability rates and Age Reduction schedules. Plans can be flagged as a Dependency Plan to indicate that other plan(s) have to be elected as a requirement for participation in this specific plan. Credit processing can be assigned to individual plans for deduction from the premium to be paid by the employee. Flexible rounding rules include Round Up, Down, or Not at all, Round first / then Calculate or Calculate first / then Round.

Open Enrollment Management:
Manage and streamline your open enrollment process via our Web SelfService Open Enrollment capabilities which provide your employees and their families with easy benefit enrollment and change process along with immediate access to all of their benefit information without having to constantly contact the HR department. Benefit Summary Plan Descriptions (SPD's) links to Insurance Provider Web Sites are a click away to give your employees the information they need to make informed decisions on what benefit elections are best for them.

The Open Enrollment process begins with employees generating Benefit Options reports that show them what plans they are eligible for and their costs. The employees then add or update their personal, address, dependent, beneficiary, direct deposit and primary care physician information. The employees will finally make their elections by stepping through user-defined enrollment panels for each benefit plan type that they are eligible for. The employees can make their elections and change them as often as needed during the open enrollment period. When the open enrollment is closed, all employee elections are processed and employees will receive their final Benefits Summary Statement that shows elected plans and their costs, enrolled dependents and beneficiaries.

The Web SelfService Open Enrollment process allows the enrollment effort to be spread across both the employees and the HR department. This results in an accurate and efficient enrollment process that provides employees with all the information they need to enroll and then maintain their benefit plans throughout the plan year without a huge impact on HR and Benefit staff.

Benefit Events Management:
Manage ongoing benefits enrollment and maintenance outside of the open enrollment period. Employees that are new-hires or have life-events that require changes to their benefit elections can easily perform these transactions using the Benefit Event process which is similar to the Web SelfService Open Enrollment process. User-Defined Life Events, such as New-Hire, Divorce, Birth or Adoption, Address Change, Part-Time to Full-Time Status Change, etc. can be setup that will be assigned to every new enrollment or change record for tracking a complete benefit enrollment history on every employee.

HR and Benefits staff can easily maintain all benefits enrollment records throughout the year by using some of the special processing capabilities which include the ability to Suspend Benefits for employees that are on Leave, Freeze Benefits used in Life Plans that will hold employee rates during a plan year even though their age changes, track Coordination of Benefits for dependents and manage Preferred Provider Organizations associated with specific plans.

Data Import/Export Wizard:
Manage benefits related data importing and exporting into or from our benefits tables from any source (Insurance Company, Broker, TPA, Payroll Provider, third-party software, etc.). This data can be automatically processed, updated and recalculated as required to meet the HRaspx system specifications. This assures accurate and timely data integration from any source required.

Dependent & Beneficiary Management:
Manage detailed benefit enrollment information for unlimited dependents per employee including all costs, life events, COBRA participation and coordination of benefits as needed. Primary and secondary beneficiary information, including percent and actual dollar allocation amounts for Life type plans, is tracked.

Time-Off Tracking:
Manage user-defined Time-Off Plans that account for time off reasons such as vacation, sick, holiday, general absences, Jury Duty, FMLA, etc. Plans can be categorized by Time-Off Types such as Exempt, Non-Exempt, Hourly, Salary, etc. Time-Off can be entered to track a complete history for each employee and accruals can be established based on a variety of parameters.

Benefit Eligibility Management:
Manage complicated benefit eligibility formulas and use high-speed, on-the-fly eligibility processing which ensures that an employee can only elect the benefit plans that they are eligible for. The formula setup process includes over 40 pre-defined eligibility columns ready for use (i.e. Job Status, Job Title, Exempt / Non-Exempt, Organization Levels, Compensation, etc.) and if others are needed, virtually any field in the database is available. The eligibility formula builder allows for quick creation and testing of formulas to validate that the correct employees are selected for eligibility. When the eligibility formula is completed it can be assigned to one or more benefit plans.

Benefit Provider Management:
Manage your benefit provider and vendor information including benefit types offered, contact and address information for the Primary Contact, Payment Contact and Customer Support Contact. All benefit plans will have a provider assigned to them.

Automatic Benefit Processes:
Manage automatic processes that provide accurate and time-saving open enrollment and ongoing benefit maintenance of plans that are offered year after year.

The Core Enrollment Process automatically creates employee enrollment records for "Employee Only" on plans that have been flagged as a Core Enrollment plan. These typically would be a plan such as Basic Life that all employees or a specific group of employees would automatically receive.

The Open Enrollment Process will automatically rollover employee plan elections from one year to the next and creates a new employee election record for the new plan year.

The Benefits Recalculation Process will automatically update employee premiums, contributions and coverage amounts as needed based on the rules of your plans due to eligibility changes such as salary and age changes, etc. Recalculations can be performed for individual or groups of employees and for individual or groups of benefit plans.

Benefits Reporting and Data Import/Export:
The Benefits Module includes over 25 Crystal Reports and over 75 Browse Reports. Custom reports can be created quickly and easily using Crystal and Browse reporting tools. Some of the standard reports include Benefits Summary, Benefits Options, Benefits Confirmation Statements, Total Compensation, HIPPA Certificates, Eligibility Tracking and Premiums Due. Benefits enrollment information required by all the parties that are involved in complex benefit management process (HR and Benefits Staff, Insurance Companies, Brokers, TPA's, Retirement Providers, Payroll Providers and Third-Party Software systems) can be easily and accurately reported, exported and imported.
