Automatically Monitor Employee Information Changes:
Automatically notify the right people when key employee information is added, updated, deleted, certain processes are pending or due and To-Do notification is required. Examples include notifying an employee, their supervisor and the HR Group that the employee has a performance review due within 30 days or notify an employee and the Benefits Group that the employee received a compensation increase which makes them eligible to increase their life insurance or an employee has been terminated so a COBRA Event takes place and notifies the COBRA administrator to process the COBRA Notification Letter and notifies the Benefits Group to send the employee a retirement fund rollover package. Alerts greatly streamlines employee communications while reducing the traditional paper pushing workflows.
Transaction Based Marketing:
Both employers and HRMS Service Providers can use the Alerts to conduct transaction-based marketing that will notify an employee or groups of employees of important opportunities. Examples include alerting a group of employees of special employee discounts at local entertainment vendors or notifying an employee that has just added a dependent that they should increase their life insurance or notifying all employees that are enrolled in a medical plan that they can add the vision plan for a reduced price during the upcoming open enrollment. Reduce Compliance Liabilities:
The potential liabilities and fines associated with non-compliance of the many government record keeping and reporting requirements (Hiring, Termination, Open Enrollment, COBRA, etc.) can be a real headache to manage. Alerts can be used to notify the proper employees in the HR, Benefits and COBRA areas of employee transactions that require some level of regulatory compliance and/or reporting. This capability alone will certainly justify the use of the Alerts Module.
Easy & Flexible Alerts Management:
Schedule & Broadcast Alerts, Reminders and To Do messages with ease and flexibility by user-defining the parameters that are important to you for each Alert, Reminder or To-Do message. The parameters include identifying the table, column, process level, formula value and time, process value and time, notification value and time and locations of documents required for the Alert. You can also send different messages to different recipients for the same Alert (i.e. employee and Benefits Administrator would get two different messages regarding a termination), define when an Alert will be generated based on when an event is scheduled or pending (i.e. send an alert to the supervisor when an employee’s birthday is in 10 days) or define a To-Do message to be sent once a month to remind you to print certain reports.
Email Address Book Management:
A master E-mail address book will be maintained that contains the addresses of individuals, groups and vendors that will receive alerts, reminders and To-Do messages. You can include employees, supervisors, managers, HR Department Group, Benefits Administration Group, Payroll Department Group, Executive Group, Insurance Carrier, Insurance Broker and any others that need to be notified.
Alerts Reporting and Data Import/Export:
The Alerts Module includes several Crystal Reports and Browse Reports. An Alert Log is generated containing the detailed records of each processed Alert which provides a complete audit trail. Custom reports can be created quickly and easily using Crystal and Browse reporting tools and data in the Alert Log can be exported as needed.
